The Challenge

A prominent social services organisation dedicated to supporting and empowering the senior community faced significant challenges with its outdated financial systems. The organisation relied on a server-based accounting solution combined with manual, paper-based processes, resulting in poor accounting hygiene, inaccurate GST calculations and difficulties in managing the finances of its multiple centres.

The organisation also struggled to generate accurate centre-specific financial reports, limiting its ability to track fund allocation and manage budgets effectively. This lack of visibility created inefficiencies and reduced confidence in financial decision-making, highlighting the need for a more modern and integrated solution.

 

The Solution

To address these challenges, AccountServe implemented a comprehensive solution to modernise the organisation’s financial operations.

Key initiatives included:

  • Migration to a Cloud-based Accounting Platform: Transitioned from a server-based system to a cloud-based solution, enabling easier access to data across multiple locations and improving system integration.
  • Structured Standard Operating Procedures (SOPs): Implemented standardised financial processes to ensure consistency and accuracy across all centres.
  • Centre-Specific Tagging: Introduced category and dimension tagging to enable accurate centre-level financial reporting, providing greater transparency over fund allocation and budget utilisation.
  • Automated Data Entry with ICR Technology: Implemented Intelligent Character Recognition (ICR) tools like FileAI, to automate data capture, reduce manual data entry and improve processing efficiency.
  • Enhanced Internal Audit Controls: Strengthened audit trails through automated document attachment and improved record management, enhancing transparency and accountability.

 

The Results

Following the implementation of the cloud-based accounting system and automation tools, the organisation saw significant improvements:

  • Improved Efficiency: Manual data entry was significantly reduced, with invoice processing time decreasing from approximately five minutes per invoice to just one minute for review and approval.

  • Better Financial Accuracy: Accurate, centre-specific financial reports improved visibility over fund allocation and budget management, enabling better financial oversight across all centres.

  • Stronger Audit and Governance Controls: Enhanced audit trails and document management improved transparency, accountability and compliance across financial processes.

The successful migration to a cloud-based accounting platform, combined with automation and stronger controls, delivered significant time savings, improved operational efficiency and enhanced financial visibility. These improvements enabled the organisation to focus more effectively on supporting the senior community it serves.
